What it does

In plain words.

Prepare purchase orders from supplier prices and pack sizes, route larger orders for approval and record what actually arrived. Accepted, held and rejected goods stay separate, while supplier claims and invoice comparisons keep each difference explained. Accepted goods received at the store location update stock once.

Who it is for

A good fit for your shop?

  • Retailers buying regularly from several suppliers
  • Teams separating ordering, approval and receiving
  • Shops that need delivery and invoice differences explained
What you get

From supplier price to checked invoice

Supplier prices and pack sizes

Link each store product or variation to supplier SKUs, purchase units, base units per pack, minimum quantities and dated prices. Preview supplier price-list changes by SKU before applying them.

Approval before the order goes out

Set an order value that needs two different approvers and decide whether reviewed commercial exceptions are allowed. Changing an approved order clears its approval and creates a new document version.

Receive what actually arrived

Record accepted, held and rejected base units separately for each delivery. Accepted goods update store stock once, and a correction keeps the original receipt with a reversing movement.

Claims for missing or damaged goods

Open supplier claims for missing, damaged or rejected units, record the supplier's response and receive replacement goods separately. Supplier credit documents are recorded without posting money.

Compare the supplier invoice

Compare ordered, accepted and billed quantities, prices, tax and charges within your chosen tolerance. Export the comparison as CSV, or link a bill already in your accounting organisation through All Profit.

Reorder suggestions you can check

Review a suggested quantity from current stock, completed sales, confirmed incoming orders, lead time and safety stock. Unknown availability stays visible, and an approved suggestion becomes a draft purchase order.

In practice

A short delivery stays a short delivery

When eight of ten cases arrive, record the accepted units and leave the rest outstanding on the order. Open a claim for anything damaged or missing, then link a later delivery to that claim without posting its stock twice. The order line, claim and receipts each keep their own balance.

In practice

The invoice is checked against what you kept

Billed quantities are compared with accepted base units, not purchase packs, alongside agreed prices, tax and charges. Held goods stay separate from accepted goods. The saved comparison and its CSV export show each difference, and nothing is posted to your accounts.

How it works

Start with one useful test.

  1. Add suppliers and products

Record supplier currency, lead times and minimums, then link store products with supplier SKUs, pack conversions and prices.

  2. Prepare and approve

Build the order or start from a reviewed reorder suggestion, check the totals and send it for the approval your policy requires.

  3. Receive and reconcile

Record each delivery, open claims for differences and compare the supplier invoice with the goods you accepted.

Before you buy

Requirements.

These details describe the Botble edition. Check the platform, services and equipment your shop uses.

  • Botble and WooCommerce use separate native packages. These requirements describe Botble; WooCommerce requirements are listed separately below.
  • The Botble edition requires Botble CMS 7.6.0 or later with Ecommerce active, plus All Operations Core, which is included in the download and installed first.
  • Store stock updates apply to stock-managed products and variations received in whole base units at the store location. Other receiving locations are recorded for review.
  • Optional: supplier email needs All Workflows with your own verified SMTP connection, and accounting bill links need All Profit with a read-only Xero connection.

Perpetual licences include 12 months of updates and support. After that, extend them a year at a time for £110 a year, whenever you like, even before the current year ends. Monthly and yearly plans always include updates and support.

  • Monthly is term use: the plugin, its updates and support for each month you pay for.
  • Yearly is the same term use paid in advance, at ten months' price for twelve months.
  • A perpetual licence is yours to keep. It includes 12 months of updates and support; afterwards you can carry on using every version you were entitled to, and extend updates and support a year at a time at the support rate (half the standard yearly price) whenever you want them.
  • One licence covers one live site and its linked staging site. Another live site needs another licence.
  • Buy more than one perpetual licence in the same checkout and the highest-priced plugin is charged in full, with 20% off each additional distinct plugin, worked out on the prices shown (launch prices while the offer runs).
  • Extend support for several perpetual licences together and the highest-priced extension is charged in full, with 20% off each additional one. Extending early adds a year to the end of your current cover; nothing renews automatically.
  • Prices include applicable VAT/sales tax and the support stated for your plan. GBP is the reference currency. Marketplace accounts, hosting, hardware and external API fees are separate. We add no payment processing surcharge.

Questions

Useful details before you choose.

The workflow, its limits and what is separate.

Still need a hand?
Does it email purchase orders to suppliers?

It can, through your own SMTP account connected in All Workflows. Each email attaches the approved, versioned PDF, up to one MiB. Acceptance by your mail server is recorded separately and does not confirm delivery. You can also send the PDF yourself and record the evidence.

Does an invoice comparison create a bill or payment?

No. It records the comparison and any differences. Linking a bill already recorded in Xero needs All Profit, and no accounting entry or payment is created.

What if the supplier substitutes a product?

Propose the substitution for undelivered units with the replacement product, pack conversion, cost and reason. A different approver accepts it, and the amended order then needs fresh approval. Existing receipts stay as they are.

Does it predict seasonal demand?

No. Suggestions use an explainable calculation from completed sales, availability evidence, lead time and safety stock. A buyer can enter a reasoned demand override.
